When it comes to planning a wedding, collecting guest information can be a daunting task. With invitations, save the dates, and thank you notes all requiring accurate addresses, it’s important to have a system in place to ensure everything runs smoothly. Here are some tips for collecting wedding addresses:
The Biggest Wedding Planning Challenge
One of the hardest parts about wedding planning was sending out invitations. My fiancé and I didn’t have access to all the information we needed such as addresses, emails, phone numbers, and dietary preferences. We had never sent out holiday cards or planned an event and had no idea where to start. Before we could book a venue, choose a cake, caterer, or even pick a date, we had to get a good estimate of how many guests to plan for. It’s important to know how many people to plan for and that’s impossible to do without all the right information.
Thankfully we found Spiral.
Collect Addresses With Spiral
With Spiral me and my fiancé, as a couple, were able to collect addresses for my wedding in only a few minutes. Once I found out that it was going to save me so much time and effort, I knew there was no going back. This was the ultimate wedding hack that made the planning process a thousand times easier. The first thing we did was download the app, create our account, and build out a few lists that I thought would help us stay better organized, but let’s start with the biggest list of them all.
Easily collect information and keep it updated automatically
Collect addresses and contact information by simply sending people a link to fill out a form. Spiral can help you keep this information updated by reaching back out to your contacts when you’re ready.
The Guest List
Wedding guest’s lists can be anywhere from 50-500 people long and it’s really challenging collecting all that information by hand. Before Spiral, the plan was to simply ask out parents for respective lists (all handwritten, hard to read, and inaccurate). My fiancé and I was going to have to reread and triple check every address, name, and information that we received. This was going to take days but with Spiral it was done in a few minutes. With Spiral I built our wedding guest list, shared it with my fiancé, and we both shared our personalized link with friends and family we wanted to invite.
Sharing Your Link
I shared the link through text, email, even social media. It was so easy to post on Facebook that I was collecting addresses for the wedding and watch as their information poured into the app. The link directed them to a form where they entered their name, address, email, and any other information we needed. As guests filled out a form, all the information we needed appeared in the app it was fast and easy. Names kept popping up and by the end of the day we had collected nearly all of the information we needed.
Exporting To Our Wedding Website
The next step was to export all the information so that we could upload it to our wedding website and the card company’s website. This way we didn’t have to type it all in ourselves. It was such a seamless process as I opened the app, clicked on our list, and choose the three dots in the upper right corner. I chose “Export List” and clicked on the wedding website we wanted to export to. Spiral formatted the list perfectly so that the website brought in all my wedding guests’ information in seamlessly.
Save The Dates
Now that I had all my guests’ addresses and information it was time to send out save the dates. Save the dates are a great way to let your guests know about your wedding in advance, giving them ample time to plan and make travel arrangements. Using my master guest list, I created a separate list of guests who will receive save the dates. I included all relevant information, like the date, location, and any additional details about events or activities leading up to the wedding. You can either send save the dates via email or mail, depending on your preference and budget. I chose to send them through the mail so I simply exported the addresses and clicked the card company that I wanted to use.
Invitations
Your wedding invitations are the first impression your guests will have of your big day, so it’s important to make sure they look and feel perfect. Using my list in Spiral I exported a list of guests who will receive invitations. After that I did a quick search for the perfect invitation. I went with a company called Shutterfly. Once I added my information into the template I uploaded my list from Spiral and sent them out!
Share and co-manage lists of contacts
Organize contacts in to lists and share with relevant people. Control which team members can edit, add, or view each list.
Managing Information: Rehearsal Dinner, Wedding Party, & Thank You Notes
After we built the wedding guest list, we also built out lists for the rehearsal dinner, bridesmaids, groomsmen, wedding party, save the dates, and even a list with all of our vendors. Now I can access Spiral again for anything I need during the wedding planning process. It is the best way to build and manage all of the addresses for your special day.
Making a list for a rehearsal dinner, thank you notes, and wedding party is important for several reasons. Firstly, it helps to ensure that you have all the necessary information in one place. This makes it easier to keep track of everything and avoid any confusion or mistakes.
Finally, having a list for the wedding party can help you ensure that everyone is on the same page and knows what their responsibilities are. This can help to avoid any last-minute surprises or misunderstandings and ensure that everything runs smoothly on the big day.
Additionally, having separate lists for each event allows you to stay organized and focused on the specific tasks at hand. For example, you can use the rehearsal dinner list to keep track of RSVPs and seating arrangements, while the thank you notes list can help you keep track of who you need to thank and what gifts they gave you.
Thank You Notes
After your wedding, it’s important to show your gratitude to your guests. By using Spiral you can keep track of all of their addresses and even build, edit, and manage your list as you write each one. The best part is that Spiral can automatically generate a personalized thank you note for each guest. This makes it so much easier and more efficient to write thank you notes after your big day.
Overall, making lists for your rehearsal dinner, thank you notes, and wedding party is an essential part of the wedding planning process. It can help you stay organized, focused, and on top of everything, ensuring that your special day is a success.
